Overview

Community Services Block Grant (CSBG) is a federally funded program that provides state and local governments and nonprofit agencies funds to serve low-income individuals and families with the goal of self-sufficiency. CSBG specifically funds services and activities that aim to reduce the causes and conditions of poverty in local communities. Find additional information about CSBG here.

To ensure smooth reporting on CSBG funded projects, please use the article below for instructions on how the CSBG reports are setup and how the Setup Data and Data Collection feeds into the CSBG reports. Reports Workspace

All CSBG reports are in the report workspace.

 

CSBG Report Summary

Users will be directed to the CSBG Report Summary Form (FormID 1876). This form serves as a search form and the primary location that the CSBG reports are run from.

To add a new set of CSBG Report parameters, users should select the Add New button.

To run a report from one of the existing CSBG report, users should locate the relevant set of CSBG report parameters and select one of the CSBG reports from the action button. 

 

Add New or Edit CSBG Report Setup

Users will be directed to a CSBG Report Setup form. This form operates similarly to the ClientTrack baseline report launch forms. On this form, users should enter in the required field to provide the relevant report parameters to the three CSBG reports. After all  of the required parameters are entered and the user selects save, this CSBG report setup will be available on the CSBG Report Summary form. 

 

Report Description

Users should enter a unique and easily identifiable Report Description. This report description will be visible on the CSBG Report Summary form and works as a differentiator for which CSBG Report Setup is the correct set of parameters to run the CSBG Report for.

Community Action Agency

Users should select an agency from the drop-down list. If you don't see your Community Action Agency, please review the Organization Setup and ensure it is accurately marked as a Community Action Agency. See the CSBG Setup Data article for more information.

Poverty Area

Users should select the relevant Poverty Area from the drop-down list so that the report knows which set of standards to compare against. Typically, this will be the United States - 48 States and D.C. option.

Date Range

Indicate Use the date range to indicate the time period for this set of CSBG reports. Only records that fall within the date range you select will be included. CSBG Reports are generally run for one of the following date ranges:

  • Fiscal Year: July 1 - June 30
  • Federal Fiscal Year: October 1 - September 30
  • Calendar Year: January 1 - December 31

Organization(s)

Users should select the relevant Organization(s) to include in the CSBG Report. This multi-select list will default to the Organization you are currently logged into. 

Programs

Select one or more Program(s) to include in the CSBG Report. Clients will have to be enrolled into the selected program(s) at any point during the reporting period. To assist users in selecting the correct programs, there are two filters that can be checked and will filter the program list. For more information on CSBG Funding Sources & Included in CSBG Characteristics Report, please refer to the CSBG Setup Data article for more information.

  • CSBG Funded Projects Only - This checkbox will filter the program list to only show programs that have a CSBG grant associated on program setup.
  • Include in CSBG Characteristics Report Projects Only - This checkbox will filter the program list to only show programs that have Yes selected for Included in the CSBG Characteristics Report on program setup. 

Report Version

The most recent version of the CSBG reports are CSBG2017. This field will tell the report which set of services, goals, and ROMA NPIs to consider for the report.

Please list the unduplicated number of Individuals & Households served in each program

If there are any individuals/households that have been served but not entered into ClientTrack, users can select the program name from the drop-down list and record the unduplicated number of individuals & households served but not entered.

Please Note: These should be UNDUPLICATED client counts recorded and should not include clients who are enrolled in ClientTrack.

 

Run a CSBG Report

From the CSBG report summary page, users can select the action button next to the appropriate report setup and select from the four CSBG reports:

  1. The CSBG Participant report will run the CSBG Characteristics Report, but only for clients who have been enrolled into one of the program(s) selected on the CSBG Report setup.
     
  2. The CSBG Participant Detail report will direct users to a secondary page where users can select to include any family members in the CSBG enrolled individuals' household. Additionally, users can select to run the full CSBG2017 report from this page, or select one section of the CSBG report to run. 
     
  3. The CSBG Service report will run the CSBG Service Report for any clients who were enrolled and received a service that has been mapped to a CSBG service.
     
  4. The ROMA NPI report will run the ROMA NPI report for all clients enrolled. If a client has a goal mapped to an NPI and the status of the goal is ‘Closed’ and ‘Attained’, the client will be counted for the Actual Results section.

 

CSBG Participant Report

The CSBG Participant report, also referred to as the CSBG Characteristics report, is comprised of two sections - Individual Level Characteristics & Household Level Characteristics. 

Individual Level Characteristics

Individuals Level characteristics are demographic level data that's collected on the Client Intake. Examples include Gender, Race, Ethnicity, Age, etc. Additional elements reported on an individual basis are Military Status, Work Status, Education Levels and Health related information. These elements can be located between the Client Intake and the CSBG Demographics Assessment. 

Household Level Characteristics

Household Level Characteristics are data points about how the household is comprised and the resources available to the household. Examples include Household Type and Size, Sources of Income, Housing Status, and Non-Cash Benefits information. These elements can be located on the Financial Assessment, Employment Assessment

 

CSBG Service Report

The CSBG Service Report will report out on any clients who are enrolled in the programs selected on the report launch page that also received services. In order for those services to be considered they must be mapped to a CSBG Service type on Service Code setup. An example report is below:

 

ROMA NPI Report

The ROMA NPI Report will report out on any clients who are enrolled in the program(s) selected on the report launch page that also has a Goal recorded as ‘Attained’ that has been mapped to a ROMA NPI. An example report is below:
