Overview

The Overlapping Enrollments Report aims to identify potential data quality issues by comparing enrollments for the same client with overlapping enrollment, bed night, and move-in dates. End users can filter the report by selecting different combinations of Project Types, Projects, and Organizations.  The logic used in generating this report is directly related to the guidance provided in the HMIS Dual Enrollment and HIC Duplicate Inventory Training Resource. 

Please note: this report does not restrict access to overlapping enrollments based on the organizations your user account has access to. The Overlapping Enrollment Report will display all overlapping enrollments, regardless of organization.

Report Launch

End users can select any combination of the filters on the report launch page to narrow the report results. Depending on the the primary and secondary project types, different rules may be applicable in the report. Please see the various rules considered for the Overlapping Enrollment Report below.


Rules:

Rule #1 - Residential Projects using Entry Exit Dates

Primary Project Types Secondary Project Types
  • 0 - ES - Entry Exit
  • 2 - Transitional Housing
  • 8 - Safe Haven
  • 0 - ES - Entry Exit
  • 2 - Transitional Housing
  • 8 - Safe Haven
Primary Project Relevant Dates Secondary Project Relevant Dates
  • Entry - Exit Dates
  • Entry - Exit Dates

Analysis/Reason:

Any overlap by any number of days is physically impossible.

 

Rule #2 - Residential Projects using Bed Nights Dates compared to Residential Projects using Entry Exit Dates

Primary Project Types Secondary Project Types
  • 1 - ES - Night-by-Night
  • 0 - ES - Entry Exit
  • 2 - Transitional Housing
  • 8 - Safe Haven
Primary Project Relevant Dates Secondary Project Relevant Dates
  • Bed Night Dates (Services or Facility Check-in)
  • Entry - Exit Dates

Analysis/Reason:

An overlap of more than two consecutive days should be explained.

 

Rule #3 - Residential Projects using Bed Night Dates

  • 1 - ES - Night-by-Night
  • 1 - ES - Night-by-Night

Any overlap is physically impossible.

 

Rule #4 - Residential Projects using Entry Exit Dates and PH Projects using Move-in Dates

  • 3 - PH - Permanent Supportive Housing (disability required for entry)
  • 9 - PH - Housing Only
  • 10 - PH - Housing with Services (no disability required for entry)
  • 13* - PH - Rapid Rehousing
