How to Set Up Family Self-Sufficiency Plan (FSSP) Data

Overview
Setting up data for the Family Self-Sufficiency Plan (FSSP) is crucial to its effective functionality. This guide will walk you through configuring the necessary elements including surveys, evaluations, and referrals to facilitate the FSSP workflow within your organization.
Survey Setup for FSSP Scoring
The baseline FSSP functionality uses survey setup data to populate the FSSP scoring step. Follow these steps to set up a survey for the FSSP workflow:

Access the Survey Setup
Navigate to Home workspace > Global Administration > Setup Data Management > Additional Setup > Setup Surveys.
Or, type Setup Surveys in the Global Search Bar.

Create a New Survey
On the Survey Setup screen, click Add New Survey.
Enter a Survey Name (e.g., ‘FSSP’ or ‘FSSP 1’) and a description if needed.
Select Refugee FSSP as the survey type, as the workflow is designed to use this type only.

Survey Visibility
Identify which organizations will use this survey by selecting them from the list.
If different organizations require unique surveys, create multiple Refugee FSSP type surveys for each.
Choose All Organizations if the same questions and scoring are used across all organizations.
If no organizations are chosen or the Availability field is set to Inactive, the survey will not appear during the FSSP workflow process |

Save the Setup
Click Save to finalize and return to the main Survey Setup form.
You can edit existing setups by selecting the action button and choosing Edit Survey Setup.
Adding Survey Questions and Scoring
Once your survey is created, proceed to define the questions and scoring:

Identify Survey Questions
From the action button, select Identify Survey Questions

Add New Question
Click Add New Question on the Survey Questions screen.
Define the Question Grouping to categorize the question (e.g., ‘Childcare’).
Enter the Question text (e.g., ‘Do you have access to reliable childcare?’).
Define the Answer options, Answer Score, and Sort Order. For example:

Configuring Evaluation Setup Data
The FSSP encompasses Goals, Barriers, and Resources, which are configured through Evaluation Types, Groups, and Codes

Access Evaluation Setup
Navigate to Home > Global Administration > Setup Data Management > Evaluation.

Evaluation Types
Add or edit Evaluation Types such as Goals (GL), Resources (RS), and Barriers (BR)

Evaluation Groups and Codes
Configure categories and list options and assign them to the user.
Edit by choosing the Edit icon next to the desired type.
Grant access to organizations in the Accessing Organizations section.

Setup Example
The Evaluation functionality in ClientTrack can be likened to a file cabinet, where each component plays a specific role in managing and categorizing data. The drawers represent Evaluation Types, providing the broadest level of organization. Within each drawer, folders (Evaluation Groups) further divide the data into subcategories, and within those folders, documents (Evaluation Codes) offer specific options to select. This system organizes information systematically, allowing easy access to specific data.
In simpler terms: Create an Evaluation Type, then an Evaluation Group within it, and lastly, define specific Evaluation Codes.
To illustrate this process, we'll use Barrier as the Evaluation Type example.

Within the Barrier Evaluation Type, you can find multiple Evaluation Groups (see image below for reference).

Going further, we'll focus on the Addition Evaluation Group, which contains the following Evaluation Codes (see image below for reference).

Scroll down to view all groups (categories) and the list options (codes) that live under them:

Clicking on the number in the Codes column next to the Description will expand to display the codes under each category.
So, here, when we select the 4 next to Transportation, we can see that there are four options that a user can then choose from if the goal type ‘Transportation’ is selected:

You can manage organizational access to each code here along with the option to set the default number of target days to completion. You can also add new Goal Options (codes) in the blank rows provided at the end of the list.
Once all changes to the Goals are complete, click ‘Save’ to finish.
Repeat this configuration process for Resources, Barriers and Goals until you have the desired list options displaying as needed on the respective forms.
Setting Up Referrals and Services
To configure referrals in FSSP:

Service Group Setup
The FSSP Referrals form requires setup of a Service Group with all necessary service codes nested inside.
Once the service group has been created, services codes need to be added corresponding to the list of ORR acceptable values.

Referral Services
Navigate to Setup Data Management > Service Codes.
Add or edit a service code and select Referral Service in the Service Categories section.
