Overview

Managing family or household members within the Refugee Workspace is an essential task that helps maintain accurate family records. This knowledge base article provides a comprehensive guide to using the Family Members and Family History screens effectively.

Family Members

This screen is designed to manage household composition and individual family membership details.

What can you do here?

  • View Current Family Members: Quickly access a list of all family members.
  • Modify Family Details: Add, edit, or remove members from the family or household.
  • Update Demographics: Adjust basic information such as Date of Birth (DOB), Social Security Number (SSN), Gender, and Relation to Primary Applicant (PA).

How to access?

From the Refugee workspace, navigate to:  > Refugee Information > Family Members

How to use:

  1. View and Update Information:
    The top section displays the family’s current address and contact details, allowing for quick updates.

The lower section contains demographic information for each member, where you can make necessary edits.

  1. Save Changes:
    Click Save to apply updates, ensuring records for the family and its members are current.
     
  1. Associate Other Clients:
    Use the search icon at the bottom to link other clients to the family.

 


Shortcut for Adding a Refugee to an Existing Family

  1. In the Refugee Workspace, find the profile of the refugee you wish to work with.

 

  1. Click the Expand icon next to the profile name at the top of the page.
  1. Once the page expands, displaying a list of current family members, click on the Add Family Member option.

Family History

This screen is used to record transactional data for the entire family, including services and case notes applicable to all members. The image below highlights two specific areas: (1) where you can add the current record to a different family, and (2) where you can access additional options by clicking the Action button. 

How to access?

From the Refugee workspace, navigate to:  > Refugee Information > Refugee History > Family History
 

How to use:

  1. Add this Refugee to Another Family:
Use this button to change family associations.
  1. Click the Lookup icon to find or add a family.
     
  2. Verify and set contact information and the Refugee's Relationship to PA (or Head of Household).
     
  3. Choose between options such as Set as Current Family or Remove Refugee from All Other Families.

 

  1. Additional Options:
Clicking the ‘...’ Action Button expands a menu

Users can select from a variety of options within the menu, including managing family records and adding or removing family associations. Users can also edit the family type and set the current family. Additionally, users can record Services for the Family and add Family Case Notes. Case Notes and Services recorded here are stored at the family level, meaning they create a record associated with each member of the family at that time.
 

To edit family details, click the Action Button and select Edit Family. The Family Name defaults to the format Last Name, First Name - Birth Year of the current refugee as the Primary Applicant (head of household).

Verify or update the Family Name, and enter optional address and telephone contact information.

Click Save to update the family information.
