Eccovia automatically applies an email signature to all new outgoing messages (signatures are not automatically applied to forwards and replies). This article will guide you through the process of creating your reply/forward signature, as well as how to properly close an email where the signature will be applied.
Instructions
Create a step-by-step guide:
Creating the reply/forward signature:
From within Outlook, go to File → Options → Mail → Signatures
Click “New”
Input the name of the signature (including the word “reply” is recommended, so you’ll know this is your reply signature)
Set the font to Arial, the size to 10, and turn on bold
Enter your first and last name, in all caps → press Enter to go to the next line
Set the font size to 9, and turn off bold
Enter your title in normal case
In the upper-right corner, select your new signature in the “Replies/Forwards” dropdown
Set the “New messages” dropdown to “None”
Click OK on both open windows
Properly closing a new email:
The signature that is automatically included on new emails already includes two carriage returns before your name and title
When adding the closing to a message, simply add a comma after the valediction (“Thank you”, “Sincerely”, etc…) and press “Send”
If you press Enter after the valediction, there will be too many spaces, so leave the cursor blinking just after the comma - no spaces or carriage returns
